At the Kallio Municipal Office Building, a new era began when our Systam Visit service for automated visitor management was implemented. Guests now sign in independently at self-service kiosks and receive a printed visitor badge granting them access to locked elevators and the correct floor. The solution has not only improved efficiency but also enhanced security in the busy office environment.

The Kallio Municipal Office Building on Toinen Linja Street in Helsinki hosts a variety of city operations and services. The building’s high volume of visitor traffic had created a need to streamline guest reception and securely store visitor data. Inviting guests to the office building is easy for the staff, as they use their own calendars to send invitations. The advance message the guest receives ensures a smooth arrival, and the self-service kiosk in the lobby signs in visitors while securely storing data.

Improved security through visitor access control

One challenge with visitor reception was escorting guests from the lobby, which took up a lot of staff time. Allowing guests to move freely throughout the building was not an option. The situation required a tailored solution that integrated the building’s elevators with the visitor management service.

“We wanted to allow our guests to independently reach the agreed meeting location. This was solved by Systam’s elevator integration, which allows us to keep our elevators locked but permit access to restricted floors by scanning the QR code on the visitor badge.”

When a guest is invited to the office building, the invitation includes information on the reserved meeting room. Upon arrival, the system identifies the meeting location and authorizes the visitor badge’s QR code for access to the necessary floor. The self-service kiosk guides the guest to the reserved room, eliminating the need for waiting or escorting. For guests who arrive without an invitation, the host is notified, and access is not automatically granted.
