Jussi Lång, the Security Development Manager at KIP Service, which oversees the site’s operations, faced a tough challenge: how to ensure smooth and safe visits for drivers, contractors, and other visitors in such a large-scale industrial area? Many were unwilling to tailor solutions to the client’s needs, adopting a “take it or leave it” approach instead. Integrating visitor access control with visitor management was a key requirement when searching for a solution. When guests are invited to a company within the KIP area, they receive comprehensive arrival instructions and a request to complete a safety induction. Upon arrival, the guest signs in at the Port Tower Visitor Center using a Systam X self-service kiosk. The visitor’s information is securely stored in the cloud and transferred to the area’s access management system. Since the Systam Visit service automatically notifies hosts of the visitor’s arrival, the security staff’s role is limited to verifying the visitor’s identity and issuing the access card. Safety inductions for different groups At KIP, nearly all visitors arrive by invitation, except for drivers. When visitors are invited in advance, they can complete their safety induction beforehand via a link in the email invitation, on KIP’s website, or upon arrival at the Port Tower Visitor Center. Visitors are divided into four groups: employees/contractors, drivers, general visitors, and port users. Each group has its own tailored induction content. At the end of the induction, visitors are required to complete a short exam to confirm their understanding of the material. Successful completion is recorded in both the visitor management and access control systems, and the validity of the induction is checked each time a visitor arrives. According to Lång, managing different types of content has been straightforward, and the exam ensures that the material is sufficiently understood. “Systam Pass is an incredibly good and flexible solution for safety inductions—the best I’ve come across.
