Moving into new business premises offered Vantaa Energy a good opportunity to also competely re-think the visitor practices. The flexible and modern operating methods we were looking for were quickly identified in Systam’s services which we have implemented both in receiving visitors at the company’s headquarters as well as in the management of site traffic in the Martinlaakso power plant.

Vantaa Energy is one of Finland’s largest city energy companies. We produce and sell electricity and district heat. We also supply natural gas to the industry sector. Our pride and joy is the Waste-to-Energy plant, completed in 2014, which transforms unusable waste into usable energy. The City of Vantaa owns 60% of our company and the City of Helsinki owns 40%. So we are an energy company owned by townspeople. And proud of it.

At Vantaa Energy, in addition to being greeted by the members of the front desk staff, an arriving visitor is now also greeted by a self-service kiosk placed on the desk. The kiosks, according to Sourcing Manager Koivulehto, have earned many positively surprised visitor comments for their practicality. However, Koivulehto feels that the greatest benefits of the Respa system stem from its automatically operated entity and the service path covering the entire visit.

Inviting visitors at Vantaa Energy has been designed to be very easy. Calendar invitations generated in the personnel’s email messages transfer the information of the invited person seamlessly into the system. And this is all that is needed. Automatic messages take care of sending pre-arrival instructions to the guest and a real time notification to the person hosting the visit when the guest arrives. In addition to improving the efficiency of the personnel’s work, Koivulehto explains that the ease and fluency of the system can be seen as improved customer service.

TAILORED SOLUTIONS ALSO FOR MORE SPECIFIED NEEDS

At Vantaa Energy, Systam Respa was also able to accommodate the unique site requirements in the Martinlaakso power plant. Respa in combination with Systam Pass induction training enables verification that all contractors moving on site haved signed in and that they have completed the appropriate safety induction training. Signing-in, printing of a personal ID with photograph and completing the required induction in connection with access control were a prerequisite for a busy site with heavy traffic. The special function in the power plant is forced entry of a tax code. Respa Lite N prints out a special sticker for the visitor to be attached to the visitor pass.

For Vantaa Energy, from the very beginning, Systam Respa was a convincing and a ready-to-go solution, and it was the only option that covered all their needs. According to Koivulehto, cooperation has been smooth and he recommends the Respa system to others as well.
